Last updated September 13, 2026. This page is part of every Atelier Vow proposal unless we write something different and you sign it. If something we planned or ran is wrong, we fix it here — we do not hide behind fine print.
The first 45-minute conversation at the studio (or by video) is free. There is nothing to refund.
Work starts after you sign the proposal and pay the deposit:
Deposits are applied in full to your invoice. They are refundable only under the cancellation rules below. The deposit holds your date on our calendar.
Studio appointments, more than 48 hours before: no charge. Inside 48 hours, or a no-show, we may charge a $75 booking fee on the next visit.
Planning work, before we start vendor outreach, design, or a timeline: we refund the deposit minus a $150 scheduling fee. If we have already reserved your wedding date and turned other work away, we may keep up to 25% of the deposit. We will say which applies in the refund note.
After work has started: you can end the project at any time by email. You pay for work completed up to that day, including meetings already booked. If that amount is less than the deposit, we refund the difference within 14 business days. If it is more, we send an invoice for the balance, due in 14 days.
We cancel or we are more than one business day late to a booked rehearsal or wedding: you choose a new date (if the venue can) or a full refund of everything paid for work we have not delivered.
Rescheduling a meeting once, with 48 hours’ notice, is free. After that we may charge a $75 booking fee. Rescheduling the wedding date itself is treated as a new hold: if the new date is open, we apply fees already paid; if it is not, the unused phases follow the cancellation rules above.
We do not refund fees for timelines, vendor lists, floor plans, or documents we have already delivered.
Each proposal states how many revision rounds are included. Extra rounds are billed at $185/hour or a fixed addendum. Changing the brief after you have approved a phase is new work, not a refund.
You may pause a job for up to 30 days at no extra charge. After 30 days we may need a new schedule and, if costs have changed, a revised fee. A pause longer than 90 days is treated as a cancellation of the unused phases.
If Atelier Vow cannot finish the work (illness, conflict of interest, or a scope we are not set up for), we refund any fees paid for work we have not delivered. You keep copies of whatever we have already issued.
More than 14 days before the event: full deposit refund, minus any custom-printed stationery, permits, or specialty product already purchased for you.
8–14 days before: 50% of the deposit is kept. The rest is refunded, or you may apply the full deposit as a credit if you rebook within 90 days.
7 days or less, or a no-show: the deposit is kept. Staff and the date are already held. We will still apply it as a credit if you rebook within 90 days and we can use the hold.
An elopement menu — location, officiant, photographer, a table — is a custom good. After written approval (or a signed shot list), there is no refund for preferring a different park, a photographer you saw on someone else’s feed, or a cake from another baker that did not match.
A custom floral order, a printed invitation run, or a converted rental package is a custom good. Once it is ordered, cut, printed, or finished to a written approval (in-studio sample or signed proof), it cannot be returned for a change of mind, a colour you saw on a phone, or a finish that looks different in your lighting than it did in Coldwater.
After approval:
Opened paper, cut flowers, and converted rentals are not restockable.
The final headcount for any table we specified (catering, rentals, stationery) is due 14 days before the wedding, or 72 hours before for an elopement. That number is what vendors produce and what they bill, even if fewer people attend.
You may increase the count after the deadline if the kitchen and rental house can source it. Decreases after the deadline are not refunded through us. Vendor overage policies are in their contracts, not this page.
Atelier Vow warrants our planning files and our on-site coordination for 12 months from the invoice date: a timeline we shipped that does not match the signed run-of-show, a vendor we booked who never received the deposit we said we sent, and a setup we directed that fails in normal use (a floor plan that does not fit the room we measured, a cue sheet that skips a contracted course).
Bring the issue to 4209 9 Line N, Coldwater — or send photos and the timeline. We inspect, and if it is our work, we repair that piece at no labour cost. Day-of failures we caused (we were more than 60 minutes late to a timed cue we owned) are credited or refunded for that portion of the fee.
Email hello@ateliervow.ca or call (437) 448-8341 with your invoice number, a short description, and photos or the timeline. We respond within two business days and book an inspection.
If something is wrong on the wedding day — a missed cue, a missing vendor we booked, a setup we directed that does not match the signed plan — tell us during the event or within 2 hours of close. We will correct it on site or refund that portion.
Approved refunds go back to the original payment method within 10 business days. We do not issue cash refunds over $200.
This policy is governed by the laws of Ontario. Nothing here limits rights you have under the Consumer Protection Act, 2002 that cannot be waived.
